Our two roles
We handle personal data in two different ways, and your rights work slightly differently in each case.
As a controller. When you visit this website, book a demo, contact us, or subscribe to V8 CRM, we decide how and why your data is used. This policy covers that data.
As a processor. When our customers use V8 CRM to store and manage their own contacts, leads, and conversations, that data belongs to the customer. They are the controller and we process it on their instructions under our terms of service. If your data is held in a customer’s V8 CRM account and you want it accessed, corrected, or deleted, contact that business directly. We will assist them where required.
What we collect
Information you give us. Name, email address, phone number, company name, and job role when you book a demo, fill in a form, or contact us. Billing details when you subscribe.
Information collected automatically. IP address, browser type, device information, pages visited, and how you arrived at our site (including campaign tags in links). See our Cookies Policy for details.
Platform usage data. If you have a V8 CRM account: login activity, feature usage, and support requests.
How we use it
- To respond to enquiries and run demo bookings
- To set up and manage your account, take payment, and provide support
- To send service updates about your subscription
- To send marketing about V8 CRM where you have opted in or where we are otherwise permitted to. You can opt out at any time using the unsubscribe link or by contacting us
- To measure how the website performs and improve the platform
- To meet legal and accounting obligations
Lawful bases
Under UK GDPR we rely on: performance of a contract (providing the platform and support), legitimate interests (responding to enquiries, improving our services, business-to-business marketing), consent (where required, for example some cookies and marketing), and legal obligation (tax and accounting records).
Who we share it with
We do not sell personal data. We share it with:
- Service providers who help us run the platform and business, such as hosting, payment processing, email and SMS delivery, and analytics providers
- Professional advisers such as accountants and lawyers where necessary
- Authorities where the law requires it
All service providers act under contracts that restrict what they can do with the data.
International transfers
Some of our service providers are based outside the UK, including in the United States. Where data leaves the UK we use safeguards recognised under UK law, such as the UK International Data Transfer Agreement or an adequacy decision.
How long we keep it
We keep personal data only as long as needed for the purposes above. As a guide: enquiry and demo data for up to 2 years after last contact, account and billing records for 6 years after the end of the contract to meet legal obligations, and website analytics for up to 26 months. Customer data held in the platform is deleted or returned in line with our terms of service after an account closes.
Your rights
You have the right to access your data, correct it, delete it, restrict or object to how we use it, and receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time.
To exercise any of these rights, email info@wearemadre.com. We respond within one month.
Security
We use technical and organisational measures to protect personal data, including encryption in transit, access controls, and staff confidentiality obligations. No system is completely secure, so we cannot guarantee absolute security, but we take reasonable steps to protect your data and will notify you and the ICO of any breach where the law requires it.
Children
V8 CRM is a business product. It is not intended for anyone under 18 and we do not knowingly collect data from children.
Changes
We may update this policy from time to time. The date at the top shows when it was last changed. Significant changes will be flagged on the website or by email.
